Richmond MA Foundation ("RMA", "we", "us", "our") is a registered charity in England and Wales (charity number 1213388). Our registered address is International House, 109–111 Fulham Palace Road, London, W6 8JA. We are the data controller for the personal information we collect through this website (richmondma.co.uk) and through our activities. What personal data we collect and why
Gift Aid declarations When you complete a Gift Aid declaration, we collect your full name, home address, postcode, email address, bank transfer reference, and signature. We collect this data to reclaim Gift Aid from HMRC on your donations, which we are entitled to do as a registered charity. Our lawful basis for processing this data is legitimate interest (reclaiming tax relief to which the charity is entitled). We are required by HMRC to retain Gift Aid records for a minimum of six years from the end of the accounting period to which the claim relates.
Donation records When you donate by bank transfer, your bank provides us with your name, a payment reference, the amount, and the date of the transaction. We retain this information to administer our finances, reconcile donations with Gift Aid declarations, and comply with our obligations as a registered charity. Our lawful basis is legitimate interest and legal obligation.
Contact form When you submit an enquiry through our contact page, we collect your name, email address, and the content of your message. We use this only to respond to your enquiry. Our lawful basis is legitimate interest. We retain contact form submissions for 12 months and then delete them.
Mailing list and WhatsApp groups If you join our mailing list or WhatsApp groups, we hold your name and contact details for the purpose of keeping you informed about RMA activities. Our lawful basis is consent. You may unsubscribe or leave at any time.
Website analytics and cookies This website uses Squarespace Analytics, which collects anonymised data about how visitors use the site, including pages visited, time spent, referring websites, and approximate geographic location. This data does not identify you personally. We also use cookies that are necessary for the website to function (session cookies) and cookies that help us understand how the site is used (analytics cookies). You can manage your cookie preferences through the cookie banner displayed when you first visit the site, or through your browser settings. Our lawful basis for analytics cookies is consent.
Prayer times API Our prayer times feature retrieves data from the London Prayer Times API. This request transmits your IP address to that service. We do not control how London Prayer Times processes this data; please refer to their privacy policy at londonprayertimes.com/privacy.
How we store and protect your data
Gift Aid declarations submitted through our website are received via Squarespace's form system, which encrypts data in transit and at rest. Where we export data to spreadsheets or other records for administration purposes, these are stored securely and access is limited to authorised trustees and committee members. Paper Gift Aid declarations are stored securely at a location accessible only to authorised personnel.
Who we share your data with
We share Gift Aid declaration data with HMRC for the purpose of reclaiming Gift Aid. We do not sell, rent, or otherwise share your personal data with any third party for marketing purposes. Our website is hosted by Squarespace, which processes data on our behalf under their data processing agreement. If you donate via LaunchGood, your data is processed by LaunchGood under their own privacy policy.
Your rights
Under UK data protection law, you have the right to request access to the personal data we hold about you, request correction of inaccurate data, request deletion of your data (subject to any legal obligations we have to retain it, such as the six-year HMRC requirement for Gift Aid records), withdraw consent where consent is the basis for processing, object to processing based on legitimate interest, and lodge a complaint with the Information Commissioner's Office (ico.org.uk) if you believe your data has been handled improperly.
